Vendor coordination and the bad day

You will spend more time coordinating than configuring. And one day something will really break.

Vendor coordination is a skill: know the account number, the support portal, the contract level and the escalation path before you need them. Open the case with evidence — timestamps, error text, what you have already ruled out — and you will skip two tiers of script reading.

Own the boundary. The ISP owns the circuit; you own everything after the handoff. The Electronic Health Record vendor owns the application; you own the network path, the workstation and the identity. Stating the boundary out loud in a multi-party call ends the finger-pointing that otherwise consumes an afternoon.

Disaster recovery planning is four questions: what would we lose, how long to get working again, what is the interim manual process, and who decides. A clinic needs a paper downtime procedure. A construction firm needs project managers able to work from mobile data. Write it before you need it.

Run a tabletop exercise once a year. Sit with the owner for forty minutes and talk through 'the accounting server dies on payroll day' or 'the office floods'. You will find three gaps every time, and the exercise costs nothing but time.
